Question and Answers:

Q: Will there be a template for meeting/workshop flyers?

A: Templates include event fliers, letterhead, one-column fact sheet, two-column fact sheet. Powerpoints coming soon.

Q: Are IWP pages inherently compliant?

A: Not yet. The IWP team will be reviewing compliance tips with programs/locations as they meet with the reps. IWP pages are inherently better at accessibility, but broken links on pages and pdfs, using tables for layout, using header tags incorrectly, not using alt attributes for images, not including title attributes for iframes, etc. will make items inaccessible.

Q: Is there an email address for the Digital Accessibility Task Force?

Q: All new content needs to be complient, what about old sites and content?

A: The expectation is that old content will be reviewed and either archived or made compliant as soon as feasible. Start with your most trafficked content for remediation.

Q: Are ANR default zoom settings compliant?

A: Zoom's native application already meets the WCAG 2.1 AA accessibility requirements. ANR's Zoom has also been configured to enable automated captions. The content shared in Zoom meetings must be made compliant by the presenters.

Q: Is there a video on how to use SiteImprove - it seems like we don't have access to assess our local sites

A: There is a short video on Box. Video on how to use Siteimprove. Request access to Siteimprove from IT.

Q: There seems to be so many resources and tips and etc, but is there a clear set of guidelines of what we need to do before the April deadline?

A: Stop making non-compliant content and work to remediate existing content. UCOP has a great website for breaking down accessibility work https://www.ucop.edu/electronic-accessibility/standards-and-best-practices/index.html

Q: Since we need to be producing accessible content by March 15th, will there be future in-depth trainings on accessibility made available to staff? At smaller offices almost every staff member is publishing content such as social media shares, IWP pages, pdfs, etc.

A: We have not engaged DeQue for additional trainings. If someone from your unit attended the sessions, the expectation is that they will share the information with their network. We recommend taking the trainings that are referenced in the Town Hall PowerPoint presentation if you did not attend the DeQue trainings.

Q: Is there going to be task force office hours?

A: We plan to offer this when the new project manager is on board. In the meantime, you can attend the UC Davis office hours on Wednesdays at 1 pm or the monthly UCOP office hours on the second Thursday of the month at 1 pm. New ADA Title II Rule Takes Effect April 24, 2026.

Q: If we have links to open access journal articles on our websites (articles that we have co-authored but are published by scholarly journals), do those have to meet accessibility goals?

A: The liability for accessibility rests with the site that hosts the content, but if you are concerned about potential accessibility non-compliance you can add a disclaimer next to the link: These materials are not maintained by UC ANR and may not meet current accessibility standards. If you need assistance accessing this content or require an accessible format, please contact [insert contact information for journal].

Q: The UC ethics and compliance training specifically states employees strive to meet ADA requirements, to the best of their ability. Given understaffing and overwork in ANR, many offices do not have this ability. Many CES barely have time to do their jobs, let alone meet/learn all the requirements by 3/15. Given the ethics and compliance caveat, is it reasonable to ask staff to follow these rules by 3/15? We have other jobs to do… 45 courses is a lot…

A: We are asking that people stop publishing non-compliant content after March 15. We do not expect people to attend 45 training sessions but rather to attend sessions that are most important for their role and make a good faith effort to comply with policy. The WCAG 2.1 AA requirement is a federal requirement. It surpasses the UC ethics and compliance training.

Q: Are there training resources for us to share with volunteers? Some of us manage hundreds of volunteers.

A: All of the sessions listed in the Town Hall PowerPoint are public-facing except for the Siteimprove sessions. Siteimprove offers access to free on-demand webinars if you give them your email address: https://www.siteimprove.com/on-demand-webinars/?category=accessibility&language=english. The tips and resources on the UC ANR web page can be utilized by volunteers: https://ucanr.edu/site/anr-website-accessibility.

Q: I hope we can keep materials/PDFs from other organizations/journals posted as available resources, since we can't revise those?

A: Hosting non-compliant PDFs from outside sources will violate the policy unless you put it in the archive and include this statement: This section contains archived content made available for reference, research, or recordkeeping purposes. These materials are not actively maintained and may not meet current accessibility standards, such as WCAG 2.1 Level AA. If you need assistance accessing this content or require an accessible format, please contact [insert contact information]. We are committed to ensuring access for all users and will provide accommodations promptly upon request.

Q: Is there a compliant template for Annual Spotlights? What programs currently have compliant PowerPoint or Word templates?

A: We uploaded Word templates for the programs that requested them (letterhead, event flier, one-column fact sheet, two-column fact sheet). If you need a template that is not available, let Linda Forbes know. The PowerPoint templates will be uploaded by 3/1/26.

Q: Our training to learn how to be compliant is scheduled for after the due date.

A: We recommend you take advantage of the on-demand trainings included in the Town Hall PowerPoint.

Q: Hi! Sorry maybe I missed it, I’m on mobile. Is there going to be a single landing page with the trainings, templates, etc? Thanks Linda for all your work!

Q: If we encounter UC ANR Tools that are not compliant, can we assume that IT is working on making these compliant? For example Survey Tool?

A: IT is working on compliance on all tools, with a focus on tools that are publically available first.

Q: If we provide a link to a community partner's event in our newsletter, if their flyer is not compliant, should we not include it?

A: The best practice is to use HTML (website copy) to promote the event rather than posting a non-compliant flyer.

Q: Should we continue to use the UCANR templates since they are word documents instead of PDFs?

A: The Word templates that were recently added to the toolkit are compliant. If you convert a Word template to PDF, you should check for accessibility issues and remediate them.
